Executive Secretary

(Major Responsibilities of the Position:

Purpose of this position: To support the General Manager of HEINEKEN Korea by managing schedule, meetings, and travel and assisting in various administrative tasks.

 

Key Result

Major Responsibilities / Key Activities

GM support

  • Manage GM’s daily schedule including internal/external meetings
  • Manage GM’s emails
  • Manage GM’s travel plans
  • Corresponds external stakeholders for requests
  • Communicate with APAC region for meetings and travels
  • Coordinate agenda and logistics for global guests
  • Interpret Kor-Eng in the internal/external meetings, if necessary
  • Main point of contact of GM’s Home OpCo, if applicable

Administration

  • Handle GM’s invoices (expense, housing, mobile phone, etc.)
  • Manage GM and family’s visa
  • Other administrative works requested by GM

Management Team Support

  • Main point of contact for MT meetings, events, functions
  • Assist MT members in critical activities (as, needed)

Others

  • Other Ad-hoc tasks, project (townhalls, corporate events, etc.)

Mandatory Requirements:

 4-year university degree

 3-5 years of experience; experience in assisting GM or any senior role is an advantage

 Must be fluent in spoken & written English

 Outstanding skills in MS applications (Word, PowerPoint and Excel)
