Senior Indirect Tax CoE Specialist/Team Coordinator

Senior Indirect Tax CoE Specialist role acts as HK supervisor for Tax compliance. 

Also, handles transactional Tax questions (E2E), organize Tax knowledge within Krakow teams, initiates and ensures implementation of all law changes in the ERP and compliance process as well, coordinating Tax audits and answers Tax  Authorities queries.
 

Responsibilities:
•    Completes all Tax related accounting activities upon which tax reporting depends, including control checks of transactional data to identify any errors or anomalies: 
     - Preparation and timely, accurately delivery of VAT returns, 
     - Preparation of local statutory accounts - analyse and reconcile GL tax accounts in line with local legislation, and reconciliations in BSAR/or DQI wherever applicable 
     - Complete Period End Close activities related to VAT accounting – VAT clearings entries, 
     - Preparation of payment requests, 
     - Preparation of Intrastat and ECSL reporting, as well as ad hoc Tax reports
•    Supports Tax reviews, statutory and Tax audits and ad hoc requests,
•    Contributes to continuous improvement by proposing ideas, participation in projects and applying any agreed changes to the processes,
•    Works with OpCo’ PtP and OtC Teams to ensure that errors are properly corrected and that remedial action has been taken to minimize the likelihood of similar errors in future.
•    Reviews of tax compliance process: implementation of ‘4 eyes’ policy, review and 1st level of approval on VAT returns, identification optimization possibilities
•    Owns of PtP, OtC manuals, Tac trainings and remedial actions,
•    Owns of standardization of Tax checks and implementation of best practices in the RTR compliance
•    Handles the Tax queries from OpCo. Filter function - be first point of contact for transactional Tax questions (questions which would not have influence on business decisions)
•    Initiates and supports Tax changes required into system (SAP)
•    Acts as One Source Super User: HK in-house role focused on maintenance of Thomson Reuters OneSource tool and safeguard optimal use of the tool
•    Supports RtR Process Trainer in terms of SOP retention project, RTR accounting academy VAT topic presenter, act as a CI Agent, completes Tax Adviser Diploma, provides training to new joiner ( Tax process wise ), lead/coordinate projects in Tax and/or finance area, may act on behalf of all roles in the team in needed 


Apart from Senior Specialist responsibilities, Team Coordinator additionally has operational and people leadership responsibilities delegated by Team Leader.

 

Operational responsibilities: 
•    Knows and acts as team ambassador of Team’s vision and strategy 
•    Is Backup of TL in operational meetings with OpCo, daily huddles with team
•    Is responsible for operational delivery based on business objectives with expected quality
•    Monitors team’s daily performance
•    Is first escalation point for the team 
•    Ensures that effective controls are executed, delivering monthly control reports
•    Proactively raises any issue on design and execution of controls 
•    Proposes changes to make controls effective and efficient
•    Brings constructive challenging ideas, taking ownership of agreed actions

 

People leader responsibilities:
•    Onboards new team members
•    Acts as a buddy for new joiners 
•    Supports Recruitment of Jr Specialists/Analysts
•    Supports TL in status check of objective and development plans for team members
•    Coordinates and supports in people recognition
•    Flags to TL potential performance issues 
•    Is empowered as first line people related issues
•    Shares best practices in planning development actions
•    Supports workforce planning inc. TS, holiday planning 
•    Supports planning and execution of back-up plan
•    Supports team meetings’ preparation
•    Coordinates team events
•    Supports TL in change management activities
•    And any other task assigned by TL within the scope of functional responsibilities

 

Must have:
•    Bachelors or Master’s in Finance, Accounting or Tax Law, 
•    2+ year work experience in finance, 
•    Experience of using SAP and Excel, good working knowledge of Outlook,
•    Team player, must have experience in a multi-national work environment, 
•    Strong analytical skills. Must be numerically accurate with a “good eye for detail”, thorough, organized and consistent
•    5+ year work experience, minimum 3-year experience in Tax advisory and/or VAT return preparation, 
•    Proactive & stakeholder orientated 
•    Solid and broad Tax technical knowledge and the ability to explain technical concepts to non-Tax and non-Finance colleagues 
•    Ability to effectively communicate and coordinate others 
•    Strong attention to details
•    Ability to adjust and manage a rapidly evolving business and shared service environment
•    Interest in developing leadership skills
•    Very good problem-solving skills
•    Very good collaborative skills allowing to effectively manage the relationship with the key stakeholders, both internal and external

 

Nice to have:
•    Background in RtR, PtP / OtC processes,
•    Stakeholder management skills, 
•    Experience in implementation of change during improvement of process, 
•    Proven project management skills, 
•    Professional TAX certification, 
•    Coaching capability (provide trainings and advise for colleagues from the RTR and other HK teams), 
•    Affinity with corporate governance and legal aspects.
