Applications are invited for the above-mentioned position in Supply Chain Customer, Logistics & Distribution based in Bloemfontein. The successful candidate will report to the Cluster Logistics Manager Central.
The purpose of the position:
The effective management of inventory received, stored and dispatched to ensure OTIF delivery of quality products and achievement of financial imperatives.
Act as the custodian of the Warehouse Management System at the site level (Super User).
Key Performance Areas would include, but are not limited to:
Inventory Planning
• Check depot days of cover daily and communicate with Planning if required
• Report all stockouts to depot, sales and Planning
• Liaise with planning to resolve stock issues
• Plan correct storage location for products in liaison with Logistics Manager/ Inventory Clerk (ABC Analysis)
• Plan, create Physical Inventory Documents for monthly stock counts
• Reduce write-offs and losses to a minimum.
• Ensure optimal stock availability and stock rotation.
Customer Service
• Maintain the highest possible level of customer service. (Internal and external).
• Ensure customer complaints are solved swiftly and efficiently.
• Help enable superior customer service as measured by On Time In Full (OTIF)
Risk Control
• Manage stock movements and documentation in accordance with the ICC and Internal/External Audit controls.
• Evaluate and maintain stock loss control procedures on an ongoing basis (incl breakages).
• Ensure that stacking heights are maintained.
• Risk Audits Conducted
Quality Control
• Ensure routine Quality Control inspections in the Distribution Centre.
• Ensure quality control checks on receipt of stock and before dispatch of stock.
• Ensure the FEFO principle is applied to stock movements by printing bin pulling sheets for the warehouse.
• Adherence to stock age policy, ensure that all concessions are raised and approved.
• Adherence to product recall policy, monitoring outer packaging quality, and quality audits conducted.
• Administer the execution of the product recall process at the site level.
Daily and monthly physical inventory count
• Conduct stock count according to company standards and procedures.
• Ensure that handheld devices used in the stock process are set up correctly and maintained accordingly.
Inventory Management
• System and site preparation completed to enable effective stock counts.
• Generate and action pre-stock take reports.
• Process all stock adjustments before starting stock take, including sorted containers.
• Start stock take on SAP and upload physical stock count from the stock take system.
• Generate and store the stock variance report and investigate all variances via root cause analysis.
• Post all authorised unresolved variances per stock count instance.
• End stock take on SAP and generate and store relevant posting and audit reports.
Secondary Distribution Shipments
• Ensure that all post goods issues have been processed for all deliveries and driver corrections.
• All proof of delivery notes have been checked and accounted for
• Reconcile invoices to shipments and deliveries daily
• Ensure that all daily load plans and distribution gate registers have been checked and are on file
• Assist with resolving and correcting invoice queries.
Primary Distribution Shipments
• Ensure that all post goods issues have been processed
• Check that no deliveries have been posted goods issues without shipments.
• Ensure that all inter depot movement notes have been checked against the inter depot gate register and filed.
• Follow up on all inter-depot in-transit shipments if not received.
• Inter depot claims must be logged in accordance with the claim procedure.
• Confirm inter depot movements with despatching sites monthly.
Missing, broken and foreign reporting
• Ensure missing, broken, and foreign surveys are conducted according to policy.
• Ensure missing, broken and foreign survey sheets are captured daily.
• Communicate missing foreign and broken items for follow-up with customers.
• Charge depots/drivers and/or 3PL‘s for shortages.
Financial control
• Ensure that all stock postings are posted to the correct accounts.
• Variance commentary compiled and submitted to management with trend analysis.
• Highlight high-risk incidents with respect to losses stemming from damage, theft and quality write-offs.
• Ensure that the operational costs per litre are contained through continual investigation and improvement of asset utilisation.
• Budgeted EBIT growth targets achieved.
Recruitment and Selection (where applicable)
• Participate in the recruitment and selection of staff.
• Ensure effective manpower planning.
Training and Development (Where applicable)
• Identify training & development needs and do succession planning.
• Ensure that on-the-job training takes place within departments.
• Input into the training needs analysis to ensure sustainability and continuation.
• Provide on-the-job coaching and mentoring to ensure continuous improvement.
• Ensure that all Employees are conversant with relevant business information, policies, processes and procedures.
Employee Relations (Where applicable)
• Ensure that sound industrial relations practices are adhered to.
• Promote a harmonious relationship with staff.
• Set an open line for communication with regular meetings and feedback meetings.
• Ensure the Company’s Vision, Mission, Values and strategic goals are communicated and understood by all employees.
HR Admin (Where applicable)
• Time and attendance SAP administration is effectively managed.
• Employee’s punctuality and attendance managed to meet operational requirements.
Performance Management and Corrective Action (Where applicable)
• Set standards and goals with each department.
• Employees are managed in accordance with the Company’s Performance Management philosophy and principles.
• Ensure that personnel reflect the company image.
• Conduct performance appraisals with personnel.
The successful candidate must have the following Skills and experience:
• Matric with a relevant tertiary qualification, Diploma or Degree in Logistics and Supply Chain.
• At least 2-3 years minimum total years of relevant experience in a FMCG Logistics / Distribution Environment.
• Proficient in MS suite, SAP, and SuccessFactors.
• The ability to work under pressure and meet tight deadlines.
• Excellent communication skills (both written and oral) and sound presentation skills.
• The ability to work after hours and / or shifts if necessary.
