In this role, you will collaborate closely with the HR Director and various stakeholders to drive process excellence across key areas, including HR Policy, Projects, Information Management, HR Transactions, and Analytical People Services.

 

As an HR Operations Specialist, you will be responsible for performing a variety of administrative tasks, collecting and managing information, generating reports, and providing people-related support. Your contributions will be essential in ensuring the smooth execution of daily operations and special projects within our HR department.

Your key role & responsibilities:

 

  • Payroll Processing and Accuracy: processing and reviewing monthly payroll data to ensure accuracy, updating the payroll system with all salary-related earnings and deduction calculation methods, and processing all employee exit calculations.
  • Coordination and Support: coordinating with Finance Treasury and the Banks on all payroll-related matters, processing and paying all taxes deducted from the payroll, and supporting all employees with salary and payroll inquiries.
  • Payroll: Execute payroll (including overtime and sales incentives. Share payroll finance reports, analyzing and comparing FTE and headcount data, ensuring alignment among stakeholders, reporting personnel costs, updating payroll dashboards, and monitoring MyHR Power BI reporting for accuracy.
  • Tax and Union Fees: Process every month INSS, IRPS and Union fees. Share costing with HRD, FD and Finance for processing.
  • Personnel Data Management: Make sure that payroll data base matches MyHR, DocuHR and employee’s databases. Guarantee that all employee data is up to date in all systems. Make sure expatriate data is up to date in Compass.
  • Management of Personnel Cost and Budget Processes: leading the preparation and execution of the personnel cost budget, managing the ROFO process, overseeing strategic and annual planning with stakeholders, and managing the expatriate budget.
  • Recruitment and Retention: offering proposals for new hires as well as for promotions and lateral moves for internal employees.
  • Rewards, Salary Administration, and Employee Benefits: reviewing policies related to rewards and salary administration, conducting market benchmarks, ensuring equal and fair wage assessments, managing health insurance contracts, implementing recognition programs, coordinating engagement actions, calculating and paying bonuses, connecting with the Region Rewards Community HUB, and preparing general increase analyses.
  • Expatriate Policies and Data: staying updated with all expatriate policies, verifying and maintaining accurate expatriate data, engaging with global mobility to review and validate invoices, and updating outbound expatriate data as needed
  • HR Internal and External Audits on Payroll: ensure compliance with statutory payroll tax obligations, accurate tax provisioning, and reconciliation between payroll records and financial statements to minimize the risk of penalties due to misreporting.
  • Function Performance: Follow-up with team members to guarantee objectives are followed and documented.
  • Stakeholder management: Engage regularly with the global/regional rewards team to be updated on new trends / policies. Engage regularly with global / regional mobility teams. Meet every month with Business controllers, Treasury and tax for payroll processing matters. Lease with HRBP’s and HR Admin for all people related subjects that impacts on compensation and mobility.

 

 

Qualifications and competencies:

  • Bachelor's degree in accounting, finance, IT or related field.
  • 3 to 5 years of related work experience
  • Fluent in Portuguese and English
  • Strong analytical, problem-solving, communication, and stakeholder management skills
