Purpose of the Role
Responsible for the day-to-day oversight for the daily workings of operations, linked to warehousing and freight forwarding. To maintain a high-quality standard of service delivery.
Responsibilities include, but not limited to:
- Receive all the in-bound stock items from contracted suppliers (imported finished and bulk goods) or production / into the store after due evaluation in line with the laid down policies and procedures.
- Confirm that the received stock items against approved POs/Indents conform to the set quality standards requirements before correctly and promptly opening of Bin-cards, posting into the bin cards and system.
- Coordinate and accurately maintain and update (real-time) bin cards and system always posting for all the stock movements goods in the assigned stores.
- Collate and submit all payment receipts, delivery notes, Goods Receipt Notes, Inspection & Acceptance Forms, and invoices to finance in a timely manner to facilitate update of customer balances and processing of payments.
- Accurately dispatch out-bound goods to the various company warehouses/stores, client’s Duty Free and or export trade on approved orders / customs entries and raising correct documents for each dispatched consignment and duly signed by the recipient in correct quantities and in accordance with the company policies and procedures.
- Advice the Store Controller when the stock levels for MUB reach the re-order levels as per procedure/work instructions.
- Facilitate regular/quarterly stock takes in the assigned stores and account for any variances.
- Prepare and complete all necessary paperwork or data entry for production, quality, and safety records relating to the store.
- Ensure goods received are properly arranged/stacked in accordance with pre-marked lot/batch numbers with clear gangways left between adjacent stacks to facilitate an effective stock management
- Ensure proper stock rotation and First-in-First-Out (FIFO) rule is always practiced in the warehouse, and that risk of expiries on shelf-life products has been escalated as per stock policy/procedures.
- Ensure accurate booking of orders, to avoid mis-declarations and/or subsequently lead to customs penalties.
- Ensure timely re-warehousing period/records are updated for management review monthly.
- Ensure timely reporting on shelf life/expiry dates for Cased/Bulk goods.
- Ensure strict compliance to all other customs rules and regulations.
- Prepare and submit for approval accurate ex-warehousing/removal customs entries (C410, W720/IM7, IM4) as per approved sales orders.
Process/lodged approved orders in the Revenue system and follow-up through to finality and advise Bond promptly upon getting RO or Settlement of customs documents
Requirements for this role
- Relevant Warehouse qualification required (Degree or diploma) or related field
- ± 4-5 years warehouse experience within a FMCG environment
- Knowledge of ERP/ Syspro
- Warehouse Management
- Basic knowledge of SHEQ and World Class operations
- Excellent organizational skills and the ability to follow through on projects with minimal supervision
- Enthusiasm for brand in general and its products in particular
- Relaxed, friendly, and professional demeanour
- Able to interact effectively with staff and other departments as well as agencies/vendors/customers
- Flexibility in working hours;
- Ability to manage time and workload effectively
