Fleet data and compliance coordinator


Responsibilities

  • Collect, manage, and analyze data from telematics, fuel platforms, and maintenance records.
  • Maintain and update Fleet Master Data with accuracy and consistency.
  • Generate and present reports on KPIs: fuel usage, mileage, downtime, and cost metrics.
  • Monitor budget vs. actual spending and identify cost-saving opportunities.
  • Process monthly fuel, maintenance & repairs invoices and ensure timely payment and settlement.
  • Coordinate with suppliers for maintenance scheduling and spare parts delivery.
  • Collaborate with internal departments (Legal, Procurement, Finance, etc.) to support fleet operations.
  • Monitor vehicle safety, utilization, and driver behavior using telematics.
  • Review fleet checklist results and ensure corrective actions are implemented.
  • Support onboarding/offboarding of vehicles, including documentation and system updates.
  • Contribute to the development and refinement of fleet policies and procedures.
  • Participate in internal and external fleet audits and support implementation of findings.
  • Track vehicle registration, insurance, and compliance deadlines.
  • Organize fleet-related training sessions and awareness campaigns.
  • Maintain a fleet dashboard for real-time operational visibility.

Minimum Requirements:

  • Bachelor’s degree in business administration, Logistics, or related field.
  • 2+ years of experience in fleet operations, logistics, or data coordination.
  • Proficiency in Excel, Power BI, and fleet management software.
  • Strong analytical, organizational, and communication skills.
  • Ability to manage multiple stakeholders and prioritize tasks effectively.
