Human Resources Administrative Specialist
We are looking for an HR Administrative Specialist for our People team.
Job Purpose:
- The HR Administrative Specialist is responsible for providing secretarial, clerical and administration support in order to ensure the services are provided in an effective and efficient manner.
- Ensure efficient partnership between all 3rd parties companies, employees and canteen.
- Organize different Activities for HTSA employees.
KEY RESPONSABILITIES:
- FRONT DESK:
- Meet and greet clients and visitors in Hera & appointments bookings & answering phones.
- Perform general clerical duties, including photocopying, faxing, mailing, and filing, maintaining records.
- Prepare meetings and conferences rooms, send invitation to participants and handle registrations.
- Order and organize with Office Ladies snacks in Hera and Timor Plaza offices (Training, Meetings, …)
- OFFICE ADMINISTRATION
- Manage full cyle of invoices (reception, analysis, registration in system and payment)
- Support office administration, to ensure office necessary in a place such as office furniture, office equipment, stationery and pantries.
- Focal Point between 3rd party employees & Handle third party contractors’ attendance (e.g. drivers/cleaners at TP and Hera as well as Canteen services)
- Track and manage Fuel vouchers & vehicles maintenance of all company.
- Responsible for accommodation and house leasing and travel arrangements.
CRITERIA:
- Degree and/or masters in Business Management, Human Resources or similar fields
- 1 to 3 years of experience in administrative roles.
- Experience dealing with internal and external costumers
- Computer proficiency in MS Office, mostly in Word and Power Point
- Good verbal and written communication skills
- Organization skills
- Fluent in Tetun and Bahasa Indonesia
- Good knowledge of english is mandatory
